It is common to utilize a large number of forms in a recruitment process. There are easy-to-use form construction programs that allow you to create a simple employment application. We created this case study to demonstrate how you can use forms to optimize your hiring journey.
This case study makes use of a form builder that reinforces your brand’s visual identity by inserting your company’s colors and logo. In addition, the builder is easy to configure, creates visually pleasing forms, allows for form customization, and candidates can easily upload relevant documents.

Attracting candidates with an enticing landing page
A job offer must also be attractive to the widest possible pool of qualified candidates. You can help yourself achieve this by writing a well-written Landing Page (LP).
You can collect basic information from visitors to your website using a landing page. Visitors should also be encouraged to take specific actions, such as joining a list or applying for a job. During recruitment processes, the goal is to convert visitors into applicants.
Users can find information about your business, a job description, and an email field on a LinkedIn profile. The more simple everything is, the better the chance of a conversion. Landing pages should also follow logical principles to be effective.

Optimizing your employment application with a form
Using a well-designed application form will facilitate the first step in the recruitment process. There will be a sense of motivation among users to complete all the information and send all the files. Your hiring process will be streamlined since you’ll receive all of the relevant information.
Forms like this are Web Apps, which you can use on your desktop or smartphone. Users can open Web Apps directly from browsers such as Chrome or Mozilla. They don’t need to download any apps from the Play or Apple Store.
You can still deliver the LP or the form by sharing their links through social media, websites, hiring websites, communities, and more. It’s also possible to personalize each form by creating different versions of it and sending the link to one candidate or a group of them.
In the next topic, we explain how the form functions for your applicants.
How your applicants fill out the form
As a first step of the employment application, candidates are asked for general information. Later in this case study, we will discuss how an online form may be used in the second phase of the employment process.
Your logo, the name of your recruitment application, and a message will appear after the user clicks the “Go to Application” button.
In the form’s creation area, you can customize the fields to ask for whatever information you need about them. But a proper recruitment form consists of four sections: personal information, professional experience, skills and qualifications, and resume upload.
Personal info
The first page of this application asks for the candidate’s full name and phone number. You don’t need to ask for their email again if they already provided it on the Landing Page.
Professional experience
On the second page, candidates are asked about their relevant work experience. Respondents should include their current or last job, including their main position, responsibilities, projects, and more.
Ask your respondents to provide information about their current or last job, including their main position, responsibilities, and projects. Some suggestions of additional topics you can request are:
- Challenges they’ve faced and how they overcame them.
- Proudest moments or major accomplishments in their career so far.
- Their experience as a freelancer, employee, or contractor.
Skills and Qualifications
In this section, the user should provide information about his main skills and expertise. Applicants can also be required to write down their weaknesses.
CV/Resume
As a final step, respondents can link their certifications and other relevant links, such as their portfolios, websites, projects with their names, etc. Users can upload their Cover Letters (CVs), Resumes, and other documents with the Upload feature.
Enhancing the next phases of your hiring journey
After they have filled out the first application form and you have selected the most qualified among them, you can send new forms for the next step of the recruitment process.
The main goal here is to collect more narrow information about the selected candidates.
Using forms in the second phase of the employment application
In this case study we created another form to collect even more data about the candidates who were approved in the first step.
Your processes and strategies
In this section, we asked the candidate about their writing practices, tools, and processes in their routine. We created a description that encourages the respondents to be as detailed as possible.
Job’s expectations
Next, the candidates must tell what are their salary expectations (yearly or hourly) and how long they expect to work at the hiring agency.
Free area
This is an extra field where candidates can add more information. For example, they can provide some relevant information about them that we didn’t ask for previously.
Video
Lastly, the user can upload a short video to tell more about themselves. This video is intended to show candidates’ presentation skills before meeting them face-to-face on a call.
You can create new forms to funnel even more candidates into your pool if your hiring process involves more steps. To collect more precise information, you can tailor forms to each of the applicants, for example.
Turning off forms
It’s possible to deactivate each one of the forms immediately or configure when they should turn off. We recommend matching your forms’ expiration date with your recruitment calendar. By doing this, you prevent people from applying to a position that has already been filled.
If a certain applicant needs more time to fill out his information, you can easily extend the expiration time in the forms configuration menu.
Finding the stored information and files
All of the candidate’s information and uploaded files were stored in the cloud data center, so it’s not necessary to prepare HDs to keep the data.
You don’t need to worry about any other expenses related to the database, as they are covered by the data center service provider. This includes cybersecurity, maintenance, room cleaning, hardware updates, etc.
Using a form-building platform ensures that you attract more candidates, that their application forms are filled out accurately, and that their files are uploaded seamlessly. This provides the most effective and enjoyable employment application experience for the applicants. We make it easy to create the best form for your process, send it to interested candidates, and find the information you need.
